In these Terms and Conditions:
We will consider all bookings to be provisional until we receive the signed Booking Form with these attached Terms and Conditions.
Please e-sign the Booking Form and provide us with the contact details of accounts payable who will receive the booking invoice. By signing and returning the Booking form, you confirm that you acknowledge and accept these Terms and Conditions.
While restrictions are in place during COVID-19 we reserve the right to reject bookings where attendee numbers do not allow for compliance with current social distancing guidelines.
The Booking form is not transferable, and you may not transfer your rights to any other person or organisation. You accept responsibility for paying all charges, including any extra charges arising under this Contract.
All catering requirements should be requested through Pera Business Park Limited and we should be notified of any changes to the requirement details on the Booking Form no less than 5 working days before the date of room hire.
In the unlikely event that we need to change the room that you have been allocated for your event, we reserve the right to move you to another room. We will notify you should we need to make any changes.
When you make an enquiry with us a provisional booking will be made on your behalf and held for 2 working days. At the end of these 2 days, if the Booking Form and Terms and Conditions are not signed electronically and returned to us, your booking will be released.
On confirmation of the booking, the cancellation policy detailed in Section 5 will apply. Pera Business Park Limited does not accept liability for any losses incurred due to the cancellation of provisional bookings in compliance with this policy.
For any enquiries made within 5 working days of the date of the room hire, your enquiry will automatically be considered as a confirmed booking and the cancellation policy detailed in section 5 will apply.
A deposit of 50% of the total contracted charges are payable to secure a provisional booking. This will be payable upon confirmation of your booking with us.
If circumstances change and you need to cancel or postpone a confirmed booking, you can do so by emailing firstname.lastname@example.org or calling 01664 501 501. Cancellation will be effective on the date it is received by Pera Business Park Limited. In the event that a confirmed booking is cancelled or postponed, the following charges will apply:
We will bill cancellation charges in the same manner as outlined in section 14.
Pera Business Park Limited reserves the right without liability to refuse or cancel any bookings, in particular where a customer has repeatedly cancelled at short notice or not turned up to use the room at the agreed time.
We will issue a full refund within 14 days from the date of cancellation if your booking is cancelled more than 90 days prior to the date of booking. For cancellations made later than 90 days, we will issue a refund within 14 days from the date of cancellation after deducting the cancellation charges stated above.
Pera Business Park Limited cannot accept liability for costs connected with services you arrange directly with other providers.
If, however, you request Pera Business Park Limited to provide services by any other person or organisation, any resultant contract is between you and this service provider This service provider will be deemed to be your visitor.
You are responsible for the health and safety of your visitors throughout the duration of the hire period and, as such, you should be able to provide a risk assessment if requested; you must comply with all relevant legislation; and you must comply with our Health and Safety Policy and procedures.
Information regarding Emergency Procedures and First Aid arrangements is available in the meeting rooms.
From 31st December 2020 you and all members of your party are required to wear face coverings (unless you or any member of your party is not able to do so safely).
Pera Business Park Limited shall not be liable including liability for negligence (except for personal injury or death) for any loss or damages arising out of or in connection with the use of the site and/or facilities including (but not limited to) direct or indirect consequential loss, special loss, loss of profit, loss of or damage to property, damage to goodwill, and claims from third parties whether resulting from use of or inability to use the site and/or facilities.
You hereby agree to indemnify Pera Business Park Limited against any claim brought by a third party resulting from use of the site and/or facilities by you and in respect of all losses, costs, actions claims, damages, expenses (including reasonable legal costs and expenses), or liabilities, whatsoever suffered or incurred by Pera Business Park Limited in consequence of your breach or non-observance of these terms.
Meeting rooms at Pera Business Park Limited are available Monday to Friday from 8.00am until 6.00pm. All visitors are required to leave the building by 6.00pm unless prior arrangements are made with Security. The main gates are locked at 6.00pm and a security key card will be required to leave the site after this time.
For events outside of these opening and closing times, please contact Pera Business Park Limited. These will be dealt with on a case-by-case basis and Pera Business Park reserves the right to reject or accept these bookings at our discretion.
Pera Business Park Limited cannot accept any liability for loss or damage caused to any vehicle or its contents whilst parked in the car park. Cars are left entirely at the owner’s risk.
Please ensure that the members of your party are aware that no animals or pets of any description, except assistance dogs, are allowed inside the premises or left in cars on the car park.
Pera Business Park Limited operates a no smoking policy in all its buildings. Please ensure that the members of your party are aware of this no smoking policy. Four designated smoking areas are available on site; Reception will be able to direct you and others members of your party to these areas.
You must ensure that you, members of your party and anyone visiting you at Pera Business Park Limited behave in such a manner that they do not cause a nuisance or unreasonable disruption to Pera Business Park Limited, our employees, tenant companies or anyone else using or visiting the site.
Should any visitors refuse to, or appear unwilling to alter any aspect of behaviour that is unacceptable to us, we reserve the right to terminate your booking and request that the disruptive parties leave site immediately.
Our Accounts Department will issue an invoice or room hire once you have confirmed you wish to go ahead with your booking. A 50% deposit will be payable upon confirmation as outlined in section 4.
Following the date of your event, we will issue a final invoice for room hire or cancellation charges after deducting the value of your deposit. Invoices will be sent on the Friday after your event takes place or was scheduled to take place and are due within 7 days of the date of your event.
We understand and will exercise our statutory right to charge interest and compensate for debt recovery costs under the “Late Payment of Commercial Debts (Regulations) 2013” if we are not paid in accordance with our credit terms.
If you would like to settle your invoice by debit/credit card you can only do so by following the link on your invoice. We are unable to take card payments over the phone or physically using a POS device.
Pera Business Park uses Worldpay to process card payments.
